  • Provide general administrative and clerical support including mailing, scanning, faxing and copying duties in the organization.
  • Answer emails & calls inquiries from customers regarding the organization and its programs as per SOP and maintaining correspondence with potential participants.
  • Organize organization’s database, including data collection, data entry and data engagement i.e send out regular bulletin, newsletter or information sheets to database.
  • Assisting the program manager in the management and administration of recruitment and selection procedures.
  • Review program related applications and assessments for completeness. Obtain additional information if necessary
  • Organizing interviews and providing support to sending & hosting program selection panels.
  • Assisting program manager in completing and publishing program on GGI website and international marketplace platform site.
  • Coordinate, attend & assist events such as on arrival orientation, workshops and seminars, sharing sessions and other program related events.
  • Generate, maintain and update progress reports of the departments in GGI.
  • Schedule and coordinate meetings, appointments and travel arrangements.
  • Prepare meetings materials (presentation equipment, meeting stationaries, F&B).   Take notes minutes, and send them to the respective attendees.
  • Prepare office operational documents including but not limited to budget estimations, PR, PO, Invoices, petty cash
  • maintain office supplies & utilities.
  • Organizing, structuring, cleaning, then putting in place and maintaining a decent filing system on the common admin drives.

QUALIFICATIONS

  • Bachelor or associate degree required
  • 2+ years of hands on administrative support experience
  • proficiency in MS Word, MS Excel, MS Power point and MS Outlook a must
  • knowledge of operating standard office equipment
  • excellent communication skills – written and verbal
  • ability to prioritize projects and strong problem-solving skills
  • good research skills and attention to detail
  • Ability to juggle multiple projects with superb accuracy
